Description

Our client based in Leeds is currently looking for a Service Manager to join their team on a full time, permanent basis.

The Service Manager will be responsible for the effective and efficient scheduling and administration of all work demands for the Operational teams within the business across the UK.

Administrating and scheduling all Engineer, Support Engineers and Driver workloads via the system and proactively prioritising/changing workloads as the business requirements change. The role also involves managing the repeat service reminder process to ensure all available revenue is captured.

Implementing effective administration processes, managing day to day operational staff workloads and continuously improving the way in which the business functions, this role will work to ensure best practice and performance is maximised in areas of system accuracy, engineer productivity, hire availability, service processing, quality, accuracy of billing and customer service.

Main Duties & Responsibilities

·       To allocate job schedules to Engineers, Engineer support staff and drivers through the system

·       To prioritise operational workloads based on customer and business requirements

·       To ensure all service work meets customer target of a 5 working day turnaround

·       To effectively manage customer communications for additional go ahead works to proceed

·       To ensure all off hired equipment is collected promptly and processed in work schedules

·       To ensure all work issued to Engineers is processed through syrinx via job sheets

·       To allocate all delivery and collection work to drivers through syrinx driver app

·       Ensure all additional charges are captured: Inspection, disposal, transport, labour etc.

·       Manage and facilitate engineers work for offsite service requirements from customers

·       To ensure the syrinx system is up to date and accurate at all times

·       To manage all service recalls for customer equipment ensuring none are missed

·       To ensure all open hire and service jobs are closed promptly and recorded accurately

·       To manage to resolution equipment breakdowns and/or repairs

·       To ensure all completed work is closed off ready for billing at month end

·       To verify data and correct data where necessary ensuring accuracy

·       To meet weekly with Engineering Manager and Sales Manager to monitor workload schedules and future sales

·       To take full ownership of any and all enquires and/or complaints through to resolution

·       To check equipment and stock availability and flag issues promptly

·       To book in, liaise and arrange face fit appointments as required

·       To deal with, and respond to all emails and phone calls promptly ensuring none are missed

·       To ensure filing is completed and your desk area is free from clutter on a daily basis

·       To support and work with other departments to help achieve company objectives

·       To keep records of time sheets and overtime claims for approval

·       To act as key holder and be the contact person for the building

·       To prepare and complete monthly CPM report

·       To raise and report and safety issues, accidents and/or near misses promptly

·       To cover any adhoc duties required to support the business

Person Specification

Planning & Organising, proactive in approach
Trouble shooting and taking ownership of complaints, queries and work requests
IT Literate (Microsoft, Syrinx)
Time management – ability to prioritise workloads and multi-tasking
Track record for influencing and negotiating with customers and in an operational environment
Strong customer focus and communication skills
Good telephone manner
Hands on approach and a “can do” attitude
Highly organised with attention to detail
Experienced in managing equipment database
High standard of work ethic
Experience in administration management
